Editing or removing a rule

Adjust data rules when the need changes, or remove access that should no longer exist.

When to use this​

  • Use it when a project has ended.
  • Use it when someone changed function.
  • Use it when a rule has become broad, stale, or incorrect.

Before you start​

  • Find the current rule.
  • Understand who will be affected by the change.
  • Agree the change with the manager or data owner where needed.

Step by step​

  1. Open Data Governance.
  2. Use search and filters to find the rule.
  3. Open the details and review who receives the access, the data, and the protections.
  4. Choose edit to adjust the data, the deadline, or the protections.
  5. Choose remove when the access should not continue.
  6. Review the impact before confirming.
  7. Save, or confirm the removal.

What happens next​

  • The change goes through propagation.
  • Affected users may need to refresh the screen.
  • The change or removal is recorded for auditing.

Common errors​

  • Removing a shared rule without assessing who depends on it.
  • Editing the scope and forgetting the existing protections.
  • Not communicating a change that affects work in progress.

  • Review old rules before widening access.
  • Prefer editing an existing rule when it represents the same purpose.
